Swim Meet 101

Tips for new parents:

  • If your child is not able to attend the meet due to an illness or emergency after they have already declared that they will be present, please email the league representative at  [email protected] so that adjustments can be made.
  • Be prepared for all types of weather. The meet will continue in light rain. In situations involving thunder/lightening the league representatives will delay the meets for 30 minutes and then re-evaluate 
  • Check your child's swim bag. Do they have goggles? Towel? Healthy snacks?
  • wear comfortable shoes and sunscreen
  • bring cash for concessions and a heat sheet
  • bring a pen, sharpie and highlighter
  • most pools don't provide seating, so bring a folding chair
  • 6 or under swimmers can leave after their events if they are not swimming up in the 8 and under relays. Please make arrangements for your child to get home if you are volunteering for the remainder of the meet

Volunteer Job Descriptions

Clerk of Course (need 2 each half)

Job description: Ensure swimmers line up in the correct order on benches prior to their races during one half of the meet. Child-wrangling experience and a loud voice are key

Concessions workers (need 4 each half)

Job description: Help set up/take down concessions. Sell concessions during meet.

Griller (need 2 each half)

Job description: Set up grill (or clean up grill), cook hamburgers and hotdogs to sell at concessions.

Head timer (need 1 each half)

Job description: Manage Stop/Go paddle and two extra stopwatches during one half of the meet. Previous swim meet experience requested

Heat winner ribbon distributor (need 1 each half)

Job description: Hand out ribbons to individual heat winners (not relays) and “I did my best” ribbons for shrimpers.

Meet manager assistant (need 1 each half or 1 for could have 1 for whole meet)

Job description: Assist Meet Manager (computer person) with race result entries, meet mobile entries

Parking attendant (need 3 at beginning of meet)

Job description: This job requires EARLY ARRIVAL. Help control flow of cars into parking lot at Sharon Baptist and away from pool lot.

Ribbon sticker (need 1 each half or could just have 1 for 2nd half of meet)

Job Description: Stick labels to ribbons and file them in the ribbon boxes.

Runner (need 1 each half)

Job description: Collect time sheets and DQ slips and provide to computer operator during one half of the meet

Starter/Meet announcer (need 2 for whole meet)

Job description: Call events/heats, start each heat, call back false starts when needed. Prior experience with swim meets requested. This job is usually pre-assigned.

Stroke and turn judges (need 2 each half)

Job description: This job is pre-assigned. This is a full meet position and requires basic knowledge of all four strokes, under water rules, and turns and finish rules. This job REQUIRES you to visit these training videos (https://usaswimming.org/officials/officials-training-videos). Please consider your willingness to disqualify swimmers (both our swimmers and opponents) if warranted before committing to this position.

Timers (need 7 from OG for each half)

Job description: Time swimmer using stop watch. There will be 2 timers/lane. There are 7 lanes at OG so we request 7 timers from the visiting team
